POLICIES

PRICING AND DEPOSIT

Your registration fee includes the distance challenge, training plans, access to our online community, SWAG, meals, and  room accommodations based on the option you chose at registration. Event details are subject to change, but we will always offer a comparable alternative. 

Payment Options

You have the option to pay in full or make payments at the time of registration. All credit card purchases include processing fees that have been covered by Milestone Events. You can contact info@vvruo7.vvruo7.milestoneevents.co for the option to pay by check.

The Deposit

A deposit of 20% of your total registration price (including upgrades or add-ons) is due at the time of registration. Athletes who opt to have a single room (no roommate) will be charged the same 20% deposit at the time of registration to secure a single room (single rooms are subject to availability).

Making Payments

After registration and the initial deposit, your remaining balance will be broken up into equal payments over the remaining months, the total being due in full 3 months prior to the event.

Using Credits

If you have accrued credits that you would like to use towards your registration payments, you may do so. Credits are earned by volunteering or may be a result of a transferred registration. There is no limit to the amount of credits that can be applied.

ROOM OCCUPANCY

Event pricing is based on multiple-occupancy lodging options. Every registrant will have their own bed, but number of roommates will depend on the venue’s accommodations. If you register and plan to participate with a partner, you will be able to indicate your desire to room with them during registration. If you register as a solo participant, you will be paired with other athletes of the same sex in a room/tent. 

Single Occupancy Upgrade

If you prefer to have private lodging accommodations, the additional cost will vary depending on the event location to cover the additional lodging expenses.

REFUND & TRANSFER POLICY

If you have registered for an event and are no longer able to participate, you have a few options. Your options change as the event date gets closer, so please familiarize yourself with these options.

Refund Policy

Refunds requested more than  4 months from the first day of the event will be issued a refund less the 20% non-refundable deposit per ticket purchased.

Refunds that are requested-less than 4 months but before the month of the event will be issued a refund of 50% of the registration fee paid including all applicable fees and taxes.

There are no refunds available within 30 days of the first day of the event. There are no exceptions.

All refunds will be returned to the original form of payment used at the time of registration.

Special event insurance is available via third-party providers.

Transfer Policy

Transfers can be requested and at any time prior to the original event date

All transfer requests come with a mandatory transfer fee of $600 per registration. This fee will be due at the time of the transfer request.

Registration cannot be transferred, resold or gifted without the approval of Milestone Events. 

Registrations can be transferred to another event within a year from the first day of the originally scheduled event, subject to availability.

Transfers can be requested and at any time prior to the original event date

Transfers will be subject to the $600 transfer fee plus any difference in the original registration fee paid and the registration fee of the new event

An invoice containing the outstanding balance, along with relevant fees, will be sent via email within 30 days of the transfer. Payment of this invoice is necessary to finalize the transfer.

All registration transfers are final and are no longer eligible for any form of refund

COACHING PROGRAM

All fees paid for coaching Group Coaching services are non-refundable and not transferable. Athletes will still have access to the coaching they paid for during the duration of the program.

One-on-one coaching fees are subject to change based on athlete's start date and can be canceled prior to the the next billing cycle. Transfers and refunds are not available with any coaching package.

PRIVACY

Human-friendly Summary

We use industry-standard website traffic pattern analysis tools to help us answer questions like:

- "Which race do people seem most interested in?"

- "Which 'Help' page are people looking at the most?"

- "How well is this page communicating race details to runners?"

These tools don't collect personally identifiable information about you. What we see is roughly what city our visitors live in, what types of devices are being used to visit our site, etc. This helps us to make using our site better for you. 

If you choose to give us your email address (usually by subscribing to email updates or by registering for a race) we never send an email unless we believe it is highly relevant to your interests (for example critical updates leading up to race day, price jump deadlines, registration deadlines, etc.). We give you full control over what types of emails you receive from us. If you opt out, we honor that. 

We share demographic patterns (e.g., percentage of women vs. men, age groups, top states, etc.) with some vendors and sponsors. Your personal identity is always protected. This is non-personally identifiable information.

We do not give out or sell your identifiable information (including name and email address).

WEATHER & SAFETY

Weather (Rain / Lightning)

Our events are held rain or shine… or snow, wind, heat, etc. Under certain severe weather conditions, we reserve the right to cancel the event, shorten the event, and/or hold athletes until the weather improves. There will be no refunds given if the race is canceled due to weather. Conditions that may result in a race being canceled or delayed include but are not limited to the following: severe heat, electrical storms, snowfall, tornadoes, earthquakes, hurricanes, flooding, fog, etc. This will be done at the event organizer’s discretion.

Nighttime Running

Athletes must  come prepared with nighttime running gear. This includes appropriate layers for warmth, a headlamp (with extra batteries), and reflective clothing.

Alcohol

Alcohol will be provided at our closing ceremony banquet. Otherwise, alcohol is not permitted at the event and should not be consumed. Any athlete found to be impaired due to alcohol consumption may be removed from the event.

Course Markings

All courses will be well marked with ribbons, arrows, and other signage. It will be up to each athlete to become knowledgeable about the course and follow the course markings.

First Aid

There will be two aid stations on course, one at basecamp and one near mile 5 of the loop. Depending on the course and accessibility there may be a third limited aid station or water station. Each of these will have limited medical supplies and assistance. A Medic Tent will be located at basecamp in the recovery area and will be open and available beginning one hour before the start time through the end of the race. In the event of an emergency, notify the nearest Race Official, as they will be able to communicate with the Medic Tent. If the emergency is severe, call 911, then notify a Race Official. In order to provide the best care possible, our medics are there to focus on medical issues. Serious medical issues will take priority, but they will also be able to assist with minor first aid issues. 

Running In The Heat

Running in hot, humid, and sunny conditions can be taxing on the body. Know your limits. Know the signs of dehydration, heat exhaustion and heat stroke. Pre-hydrate before your runs, hydrate during your runs, and re-hydrate after your runs. Electrolyte replacement is just as important as hydration. We recommend mixing in electrolytes with your water to optimize your electrolyte levels and keep you hydrated. Proper hydration is obtained when the runner has clear (light lemonade colored) and copious urine. Keeping your core body temperature as low as possible is also a vital component of running in the heat. Dumping cold water on your head and neck and slowing your pace are two great ways to help keep your body’s temperature under control. Also, be sure to consult your doctor if you have a pre-existing condition that may be exacerbated by running in hot conditions.

Running at Altitude

When an athlete comes from a lower elevation like sea level, they will feel the effects of altitude. Despite common misconceptions that arriving a few days earlier will help your body “acclimate” to the altitude, it takes months and years of training at altitude for your body to adjust. The most important thing when traveling and competing at altitude is to hydrate. Keep your body well hydrated long before you start exerting yourself. Also, listen to your body and slow down when you need to, even if it puts your average pace slower than you are used to.

ETIQUETTE

We are a community of athletes participating in these events to challenge ourselves and our perceived limitations. The goal is personal growth, and from it comes joy. We all contribute to each other’s experience and success by “being excellent to each other”. This looks like every athlete having empathy for each other, recognizing that everyone comes from different walks of life, backgrounds, abilities, and levels of experience with trail running and distance running. No one person’s race is more important than another’s, and your experience certainly isn’t more important than another athlete’s safety. It is important this empathy is also balanced by each athlete and staff and volunteer having integrity and taking accountability for our actions. A few simple ways we can do this on course are practicing good etiquette.

Trail Etiquette

PASSING

Some sections of trail will be more narrow than others and while we want to support each other in achieving our personal best, we may need to pass other runners along the way. For sections of the trail that are “single track” please run single file and not two abreast to protect the area/trails from erosion and expansion (remember that community expands beyond just the people at our event)

When approaching a slower athlete, call out “on your left” before attempting to pass. Be patient and wait for the athlete to move to the side.

When you hear “on your left” from a fellow athlete approaching from behind, as quickly as you can(considering the safety of yourself and the area) move over to the right and hop off the trail to allow the athlete to pass. Be mindful of those who are trying not to be rude who might want to pass but haven’t vocalized it (listen for someone huffing and puffing on your heels)

YIELDING
Downhill traffic yields to uphill traffic (unless they wave you on)

Bicyclists yield to runners/walkers (unless they are flying down a hill it would be wise to get out of their way)

Pedestrians yield to horses (unless waved through by riders)

LITTERING
Please use integrity while on course and ensure all of your belongings and trash make it to an aid station or the village checkpoint. 

MUSIC
If you run with music, always run with one earbud out so you can be aware of your surroundings and other athletes.

Do not play your music loud for others to hear

SUPPORT
At the heart of our organization is empathy, an unwavering understanding and compassion for the journey of every member of our community. So we encourage you to look for opportunities to support each other on and off the course. 

Offer assistance to athletes in need.

If you cannot provide assistance or there is a problem, notify event staff as soon as possible

MILITARY POLICY

If a Military athlete is deployed or receives orders that would otherwise prevent them from participating, they will receive a full refund of their ticket price.

PACERS AND CREW

Only registered athletes and event crew are allowed on course and in Athlete Headquarters. The ME team and volunteers will be your crew. We got you. Pacers will be allowed to run with their athlete only during headlight mandatory hours of the event (around sunset to sunrise). Pacers will have access to aid station amenities while with their athlete.

SPECTATORS

Spectators will be allowed on the property in designated spectator areas only. This space will change depending on the location of the event, the course, and the venue. But there will always be a spectator designated space near the finish line. Spectators will not be allowed in the athlete only area or have access to athlete and event amenities. Some venues may have lodging on-site that spectators can make reservations separate from the event.

ATHLETE SCHOLARSHIP

Milestone Events Athlete Scholarship Policy

At Milestone Events, we are committed to ensuring that our events are accessible to athletes from all walks of life. As part of this commitment, we have established the Milestone Events Athlete Scholarship Fund to support athletes who may face financial barriers in participating in our events. The following policy outlines the guidelines and procedures for applying for and receiving the Milestone Events Athlete Scholarship.

1. Scholarship Fund Matching:

For every dollar contributed by our athletes to the Athlete Scholarship Fund, Milestone Events will match the contribution. This matching program aims to amplify the impact of athlete contributions and increase the accessibility of our events.

2. Application Process:

Athletes interested in applying for the scholarship must submit their application within the designated timeframe specific to each event. Incomplete applications will not be considered.

The submission of an application does not guarantee the award of a scholarship.

3. Scholarship Decision:

Scholarship decisions will be made through a combination of the Milestone Events Partners based on the demonstrated need of the applicants, voting by the ME community and the availability of funds.

Decisions regarding scholarship awards will be communicated to the applicants within one week of the application/voting deadline.

4. Voting Rules

Once an applicant has moved on to the final voting round, they will be required to create a new video and upload it to the Milestone Events’ drive to be promoted through the ME Instagram. Deadlines will be communicated to each applicant and will be no longer than a few days after being informed to ensure a timely determination for the winner.

 

Videos must be no longer than 60 seconds and recorded in the vertical format. Any video that uses offensive or inappropriate language will be forfeited from the scholarship process.

All votes must be on the Milestone Events Instagram page. The winning athlete will have the most “likes” when voting closes.

Once an athlete submits a finalist video, Milestone Events reserves the right to use the video for future marketing campaigns.

5. Commitment and Participation:

Athletes who are awarded the scholarship must commit to participating in the specified event within 1 week of receiving notification of their scholarship award. They will need to register for the event using the unique code that is sent to them in their award letter. 

Failure to commit to the event within the specified timeframe may result in the forfeiture of the scholarship.

In this scenario, the application will be awarded to the athlete with the second most votes. The timeframe for acceptance of the scholarship is the same as above.

6. Transfer and Deferral Policy:

Scholarship athletes are not eligible for transfers or deferrals of their event registration.

Once an athlete has committed to participating in an event as a scholarship recipient, the registration cannot be transferred to another individual or deferred to a later date.

7. Promotion:

Athletes will permit ME to use any part of a scholarship athlete’s story (as part of the registration process) on the official ME platforms including but not limited to Instagram, Facebook and our website. 

As part of the application process, athletes will also be required to create and share a Reel on Instagram. Any video that uses offensive or inappropriate language will be forfeited from the scholarship process.

This should include why this specific event is important to them and the impact it will have for them far beyond the 100-Mile finish line.

Other requirements include: Making sure their account is public for the duration of the scholarship selection process, tagging @officialmilestoneevents and using #Zion100Scholarship

8. Amendments:

Milestone Events reserves the right to amend or update this policy as necessary. Any changes to the policy will be communicated to all relevant stakeholders in a timely manner.
